EPFO gives employers 16 extra days to fix split-month September PF filings

Employers can now file September’s Electronic Challan-cum-Return by October 31 after a mid-month wage-ceiling change complicated provident fund calculations.

The Employees’ Provident Fund Organisation has given employers more time to file September’s Electronic Challan-cum-Return, moving the deadline from October 15 to October 31. The extra time is meant to ease compliance after the retirement fund body revised the wage ceiling used for provident fund calculations, a change that has forced payroll teams to recalculate contributions for the month.

The September return is more complicated than usual because the ceiling changed part-way through the wage month. Employers must apply the earlier limit of Rs 15,000 for September 1 to 16 and the higher limit of Rs 25,000 from September 17 to 30. That split-month treatment means payroll systems cannot simply use one rule for the full month, and businesses may need to revisit employee-by-employee records before submitting the filing.

The Electronic Challan-cum-Return is the monthly online return through which employers report wages and contributions under the Employees’ Provident Fund, Employees’ Pension Scheme and Employees’ Deposit-Linked Insurance schemes. Business Standard reported that the extension should give employers breathing space to reconcile payroll data, check eligibility and make sure the figures entered on the EPFO portal match statutory records. Industry summaries also noted that some employers had sought relief after being given little time to adapt systems to the revised ceiling.

Employers are being advised to use the extra days to verify payroll calculations rather than wait until the final deadline. That means separating the two parts of September, confirming which workers are covered under each scheme, checking the accuracy of the employee-wise data and keeping supporting records in case of future scrutiny. Employees, meanwhile, can review their provident fund passbooks and contribution histories to make sure their employers have credited the right amounts.

The deadline extension comes alongside another compliance date that some establishments will need to watch closely. Eligible provident fund trusts have until December 28, 2026, to apply under the EPFO’s Amnesty Scheme 2026 for retrospective regularisation of exempt status. According to the Ministry of Labour and Employment, the scheme includes certain waivers on requirements such as minimum employee strength, corpus size and the three-year compliance rule. The EPFO has also been holding awareness sessions with industry groups and professional bodies to help employers understand the application process.
