Indian IT and service exporters to Canada face hidden costs and compliance challenges in cross-border payments. Choosing the right transfer method, securing proper documentation, and understanding purpose codes can optimise costs and streamline GST refunds, according to Razorpay’s latest guidance.
Indian IT and services firms billing Canadian clients often discover that the payment on the invoice and the money that lands in the bank are not the same thing. The gap usually comes from the route the money takes, the foreign exchange spread the bank applies and the paperwork that follows. According to Razorpay’s guide, choosing the right rail matters not only for speed and cost, but also for the compliance trail that supports GST refunds and export records.
There are three common ways to receive CAD from Canada. A standard SWIFT wire is the most familiar, but it is also usually the slowest and most expensive, with funds typically taking three to five business days to arrive and total charges often running into the low single digits as a percentage of the transfer. A local Canadian receiving account offered by a cross-border provider can cut both cost and delay, because the client pays domestically and the money later settles in India. International payment platforms sit somewhere in between, especially for smaller or one-off jobs.
The difference between the invoice value and the INR credit is usually explained by correspondent bank fees, the receiving bank’s forex spread and a handling charge. Razorpay’s example shows how a CAD 5,000 payment can lose several thousand rupees by the time it is converted, even before any business bank charges are counted. That is why exporters are often advised to compare the credited exchange rate with the day’s mid-market rate, rather than assuming the Google rate is the amount they should receive.
The compliance document that ties the payment to the export is the foreign inward remittance certificate, more commonly called an FIRC. Legal Clarity says an FIRC is issued by an authorised dealer bank and records the remitter, amount, exchange rate, purpose code and transaction reference. In practice, many banks now issue an e-FIRA, the digital equivalent used for most service-export receipts. The document is important because it supports GST refund claims and helps prove that foreign exchange was realised properly.
Purpose codes are another part of the process that businesses cannot afford to treat casually. Banks use these RBI codes to classify inward remittances, and several sources note that incorrect or missing codes can lead to delays, compliance checks or penalties. Razorpay’s guide points to common codes used by IT and consultancy businesses, including P0802 for software consultancy outside SOFTEX and P0807 for off-site software exports covered by SOFTEX. The same guide also notes that exporters now need to keep an eye on two clocks: the RBI realisation window and the GST trigger under Rule 96A.
The practical takeaway is straightforward. For regular Canadian clients, exporters should decide up front whether a local receiving account, SWIFT wire or payment platform best fits the transaction. They should also request the e-FIRA promptly, keep it matched to the invoice and UTR, and make sure the purpose code reflects the actual service delivered. For businesses that want less friction and clearer reconciliation, the strongest approach is the one that combines the cheapest rail with the cleanest compliance trail.
